Direct Answer: Price the Configuration You Will Actually Use

Calculate the keyword, location, device and search-engine combinations you need, then ask each vendor to translate that workload into its own billable units. A list of 180 phrases can require 760 distinct tracking series in the fictional example below. That does not establish that a provider bills 760 keywords or credits.

This worksheet answers a procurement question: what configuration must a quote cover, and what will the included costs and payment schedule mean? 1. Define a Tracking Series Before Counting Keywords

A tracking series is one consistently defined observation target over time. For this worksheet, its identity includes the phrase, search engine, location, language, device and result surface. The website or project being evaluated must also be explicit.

For example, desktop organic web results for a phrase in one city are a different series from mobile results for that phrase in another city. A local map-grid observation, an AI citation and a YouTube search result answer different questions again. Do not silently combine those products under one “keyword” count.

Use a row definition like this:

Keep schedule separate from identity so that changing collection frequency does not create confusion about what the underlying series represents. Retain the date of a configuration change so reports can explain any discontinuity.

Before adding a series, name the decision it supports. A local service team may need a mobile city-level view of a core query. A national research article may not need the same phrase repeated across every city in a sales territory. More rows increase monitoring workload without automatically increasing useful information.

Google Search Console is a complementary source for observed performance on your own site, not a promise to provide an arbitrary fixed-query panel with the same settings as a paid tracker. Use the GSC and GA4 reconciliation worksheet when the question is why traffic counts differ. Do not buy additional rank checks to solve a measurement-definition problem.

2. Build the Workload From Segments, Not One Multiplier

Multiply only the dimensions that actually apply to each segment, then add the segment totals. A blanket phrase × city × device formula can overstate demand when only a subset needs local coverage.

Here is a fictional single-project plan. The phrase sets are disjoint, all observations use one specified engine and one language, and all refer to the same defined organic web surface. The table counts our requested configurations; it does not measure vendor usage or establish billable units.

The calculations are 100 × 3 × 2 = 600, 50 × 1 × 2 = 100, and 30 × 2 × 1 = 60. Total workload is 760 series, not 180 and not 1,080. The latter would result from unnecessarily applying three locations and two devices to every phrase.

If phrase sets overlap, calculate the distinct union of full configuration rows instead of summing duplicate rows. The same phrase can legitimately appear in two projects, but whether that creates an additional billable unit is a vendor question. Do not deduplicate across client projects merely to make the budget fit.

Likewise, adding a second search engine may expand the observation plan, but do not assume it doubles the invoice. A provider might bundle particular combinations, charge them separately or restrict the configuration by plan. The workload model describes what you want; the quote describes what the seller charges.

3. Separate Stored Capacity From Collection Frequency

Configured series and scheduled observations are different quantities. A lower checking frequency can reduce collection work without freeing the subscription’s configured-keyword capacity.

For the fictional 760-series plan, suppose all series are checked once per day during a deliberately chosen 30-day planning month. Scheduled observations would be 760 × 30 = 22,800. This is arithmetic under the assumed schedule, not a provider’s billing rule, successful-result count or statement about every calendar month.

Now suppose 40 important series need daily checks and the remaining 720 need four scheduled checks during that month:

The mixed schedule contains 18,720 fewer scheduled observations, an 82.1% reduction rounded to one decimal place against the fictional all-daily schedule. It does not imply an 82.1% price reduction. Both schedules still contain 760 configured series.

Ask whether refresh frequency affects the quoted rate, consumes a separate allowance or is fixed by the subscription. Confirm how manual refreshes, failed jobs and retries are treated. A “daily” plan name alone does not establish a guaranteed collection time, successful completion or a refund for a missing observation.

Keep unavailable results distinct from a measured position. A failed collection is not position zero. An absent result may mean outside the tracked depth rather than not indexed. These distinctions affect both reporting and whether the trial actually answered your question.

4. Translate the Plan Into Vendor Billing Units

Send vendors the same workload table and request a written unit definition. Comparing package names without this step can make unlike plans look equivalent.

One other distinction belongs in the quote request: is the product collecting configured search results, reporting data from Search Console, or combining both? SEO Scout’s own comparison page, read on October 4, 2026, describes connecting Search Console and reporting average performance for the day, week or month. That vendor description is not evidence that its reporting equals a scheduled location-and-device panel. The page’s competitor table, prices and performance promises were not independently validated and are not adopted here. Ask the vendor to demonstrate the exact observation you need before comparing capacity or cost.

Record unanswered fields as unknown, not zero. If a provider has not confirmed mobile counting or export access, its apparent lower price is not yet a complete eligible quote.

Require the proposal to identify the plan, term, currency, included features, applicable discounts and quote date. A screenshot of a starting price is weaker than a complete configuration response because it may omit precisely the capacity that drives your cost.

5. Compare Two Complete Fictional Quotes

Compare the amount needed to meet your requirement, not the lowest advertised number. The following prices, capacities and inclusions are invented solely to demonstrate the calculation. They do not represent SE Ranking, Mangools or another provider.

Assume both fictional proposals explicitly confirm that one of their capacity units equals one of our defined series. This equality is a condition of the example, not a transferable industry rule.

Quote A’s first-year included cost is 12 × ($90 + $20 + $15) + $60 = $1,560. Quote B’s is 12 × $120 = $1,440. The difference is $120 under these fictional assumptions. B has the lower modeled annual amount, while A requires less cash in month one.

The model excludes tax, internal labor, migration effort, currency changes and unquoted overages. It is not complete total cost of ownership. The $0 setup line in B is an explicit fictional inclusion, not a statement that real providers offer free implementation.

Monthly installments also do not establish monthly cancellation rights. Ask about contract duration, renewal, downgrade timing and refund rules separately. An annual-equivalent monthly figure is a comparison device; it is not evidence that the provider will accept that amount each month.

6. Check Headroom Without Buying an Unused Plan

Decide how much extra workload is justified before treating spare capacity as value. Empty allowance has no operational benefit if the team has no reason to use it.

Suppose the fictional team wants room for an additional 20% of its current 760 series. The planned requirement becomes 760 × 1.20 = 912 series. This definition adds a reserve equal to 20% of today’s workload; it does not mean that 20% of the purchased plan must remain unused.

Under the example’s confirmed unit equivalence, A’s 800 capacity covers the present 760 series but not the 912-series requirement. B’s 1,200 covers both. If the extra workload is only speculative, record that uncertainty instead of automatically choosing the larger plan.

Capacity utilization answers a separate question. At today’s workload, A would use 760 / 800 = 95% of capacity and B approximately 760 / 1,200 = 63.3%. Those percentages do not measure ranking accuracy, reporting quality or financial ROI.

Use a change log for additions and removals. When a client leaves or a campaign ends, review whether its series should be archived, retained for comparison or removed. Confirm the consequence for historical exports before deleting anything. Replacing a tracked phrase may affect continuity even when the total allowance stays unchanged.

7. Run a Small Acceptance Panel Before Committing

A trial should test the proposed configuration and usable outputs, not just whether a dashboard loads. Design a permitted test panel representing the cases you will buy.

For the fictional workload, choose a small group that includes both devices, multiple required locations, a known branded query, a non-branded query and an expected out-of-range case. Record the configuration and collection timestamp for each. This is a proposed test design; no results are claimed here.

Check that exports contain the fields needed to reproduce your report: phrase, target location, device, observation date, measured position, ranking URL and failure state where available. If a required field is absent, ask whether a different export or plan supplies it before accepting the quote.

For repeat checks, inspect collection consistency rather than demanding identical positions every time. Search results can change. Investigate unexplained configuration changes and missing fields, and distinguish those from actual changes in observations.

Do not present agreement with a single manual search as proof that one vendor is universally most accurate. Manual searches and automated observations can differ in time and configuration. Define the narrow question your trial can answer, such as whether the export correctly identifies the selected device and city.

8. Send a Quote Request That Can Be Compared

A useful request makes it hard to answer with a generic plan link. Copy this brief and replace the fictional workload with your own:

We need 760 defined tracking series across the attached three workload segments, one engine, one language and the specified organic web surface. Please state how these map to your billable units. Confirm both the present workload and a potential 912-series configuration. We need two internal users, a reproducible export and the specified client report. Quote the full recurring charge, required add-ons, initial payment, contract term and renewal treatment. Identify any unsupported configuration or unknown charge. Describe failed-check handling and how we can test the required export before committing.

The two-user requirement is part of this authored brief, not a claim about an included seat allowance. Add client-access requirements separately; an internal user and a read-only client login may have different terms.

If your shortlist includes SE Ranking or Mangools, use the same configuration request for both. Their referral links are optional purchasing paths, not evidence that either passes your acceptance tests.

9. Choose a Plan and Keep the Measurement Useful

Choose among eligible quotes only after the workflow and acceptance checks pass. Record why the selected configuration is sufficient, which unknowns were resolved and which optional requirements were deferred.

A team can reasonably prefer lower upfront cash, better export fit or an existing integration even when another eligible quote has a lower modeled annual price. Make the trade-off explicit instead of hiding it behind an unsupported “best value” score.

For agency reporting, connect rank observations to a question the client can act on. Use the SEO reporting software guide for delivery options. Keep tracked positions separate from GSC clicks, qualified leads and received revenue; movement in one does not prove improvement in the others.

Frequently Asked Questions

Does tracking desktop and mobile always double the price?

No universal billing rule is established here. It creates two observation configurations in this worksheet, but the vendor may bundle, separate or restrict them. Obtain the actual counting rule in writing.

How many billable keywords does the 180-phrase example need?

The authored configuration contains 760 defined series. The billable quantity remains unknown until a provider maps those series to its contract. In the fictional quote example only, both sellers explicitly use one unit per series.

Will weekly checking reduce my subscription bill?

Not necessarily. It reduces scheduled observations in the model, but some quotes may depend on configured capacity or include a fixed refresh schedule. Check both allowance and pricing terms.

Is annual billing cheaper than monthly billing?

That depends on the actual offers and required commitment. Compare the full term and cash timing. An annual-equivalent monthly number is not the amount due at checkout, and this worksheet does not verify a current discount.

Should I use the largest plan because its cost per keyword is lower?

Only if the capacity and features are useful for your approved workload. Dividing by unused capacity can make an expensive plan look economical while increasing the amount you actually pay.

Does a rank-tracking improvement prove SEO revenue increased?

No. Rank observations, traffic, qualified leads and payments are different measures. Use consistent cohorts and measurement definitions to assess business outcomes; neither a subscription nor this worksheet guarantees growth.
